Offshore bookkeeping cost for CPA firms in 2026: what India actually charges
By CA Devang Jasani · 2026-10-21
Hourly, per-entity, dedicated FTE or fixed retainer: the four ways Indian vendors price bookkeeping, the 2026 rate ranges, a worked comparison against a US hire, and the two hidden costs that decide whether you actually save money.
If you run a CPA or bookkeeping firm in the US, the offshore conversation has probably come up at a partner meeting more than once. The arithmetic is hard to ignore. The trouble is that most vendor pricing pages are vague on purpose, and whether an offshore engagement saves money or quietly costs it is decided before you sign, not after.
We are a Chartered Accountancy firm in Ahmedabad that does this work, so we have a stake in the answer. Below are the market ranges as published by other vendors, the pricing models you will be offered, and the costs nobody puts on the rate card.
What a US bookkeeper costs you today
The US Bureau of Labor Statistics puts the median pay of bookkeeping, accounting and auditing clerks at $50,670 a year, or $24.36 an hour (May 2025). That is wages only. Add benefits, payroll taxes, software seats, hardware and office space and the real number is meaningfully higher; one offshore vendor's 2026 guide (MYCPE ONE) puts a fully loaded US bookkeeper at $75,000 to $95,000 a year. Your own number depends on your city and benefits, so use your payroll data, not ours.
The other cost is availability. BLS projects employment in this occupation to decline 6 percent between 2025 and 2035, which matches what most firms tell us: the problem is less the salary and more finding and keeping the person.
The four ways Indian vendors price bookkeeping
| Model | Published 2026 ranges | Works well for | Watch out for |
|---|---|---|---|
| Hourly | About $8 to $20 an hour for bookkeeping, by complexity | Overflow and seasonal peaks | The meter rewards slow work; month-end bills are unpredictable |
| Per entity or per transaction | Quoted per client book per month; no standard rate | High-volume, low-judgment coding | Incentive is volume, not accuracy |
| Dedicated FTE | About $1,200 to $2,000 a month for a bookkeeper or staff accountant; $2,000 to $2,800 for a senior or team lead | Firms with steady volume that want one person who learns their clients | You still manage and review the person; cover for leave and attrition |
| Fixed monthly retainer | Scoped per engagement | Firms that want a defined scope and the vendor to carry efficiency risk | Scope must be written down, or the number drifts |
Sources for the ranges: Acculink's 2026 pricing breakdown (basic bookkeeping $8 to $15 an hour, advanced $12 to $20) and MYCPE ONE's 2026 US vs India comparison (general bookkeeping $11 to $18 an hour, and the FTE bands above). These are vendor-published planning ranges, not a regulated tariff, and they are not ADAPT's prices.
Compare vendors on cost per finished, reviewed file, not on the hourly rate. A $9 hour that needs a second review is more expensive than a $16 hour that does not.
A worked comparison
Take a firm with two in-house bookkeepers handling about 30 small-business clients on QuickBooks Online.
- Onshore, wages only at the BLS median: 2 x $50,670 = $101,340 a year, before benefits, payroll taxes and seats.
- Offshore, two dedicated staff-accountant FTEs at $1,500 to $2,000 a month each: $36,000 to $48,000 a year.
- The gap on paper: roughly $53,000 to $65,000 a year on wages alone, and wider once you load the onshore cost.
Now subtract what the spreadsheet leaves out: the reviewer hours your seniors spend checking the offshore work, the first two or three months of onboarding where output is slower, and the cost of any rework. Vendors report savings of 40 to 60 percent on fully loaded staffing cost. That range is realistic only when review time stays low, which brings us to the two hidden costs.
The two costs that decide whether you save money
1. Review and rework
If the offshore team does not know US rules, your seniors spend the savings reviewing. Sales-tax nexus, 1099 classification, accrual cut-off and payroll liability reconciliation are where untrained teams go wrong. A team that is trained on QuickBooks but not on US bookkeeping practice costs less per hour and more per finished file.
2. Turnover
Many offshore providers are staffing operations. People rotate to a better-paying seat, and every rotation resets the context on your clients. Ask every vendor two things: how long the people on your account have been with them, and what happens to your work when one of them leaves.
Five questions to ask before you sign
- Who is responsible for the work: a named, qualified professional, or an account manager in front of a rotating pool?
- Is the team trained on US bookkeeping and sales-tax practice, or only on the software?
- Whose subscription does the work happen in? The right answer is yours. Client data should stay in systems you control.
- What does security actually consist of: NDA, role-based access you set, and the ability to revoke access today?
- Can I run a paid pilot month on real client work before committing?
If your firm prepares tax returns, also check whether IRS Section 7216 consent rules apply before any tax return information reaches an offshore team. Bookkeeping-only work and tax preparation work are treated differently, so get this right before the first file moves.
How ADAPT prices
ADAPT & Associates LLP is a Chartered Accountancy firm in Ahmedabad regulated by the Institute of Chartered Accountants of India, led by six CA partners with 7 to 10 years of experience each. We work inside your QuickBooks Online, Xero or Sage subscription, white-label for CPA firms or directly for US businesses, and every engagement has a named partner.
We price on a fixed monthly retainer, scoped by number of client books, transaction volume and close calendar. After a 30-minute scoping call you get one written number. Engagements start with a one-month paid pilot on real work, so you judge the output before you commit. India is 9.5 to 13.5 hours ahead of US time zones, so work you hand off in your evening is done before your next morning.

Frequently asked questions
How much does offshore bookkeeping from India cost in 2026?
Published 2026 vendor ranges put bookkeeping from India at roughly $8 to $20 an hour depending on complexity, and a dedicated bookkeeper or staff accountant at about $1,200 to $2,000 a month. Senior accountants and team leads run about $2,000 to $2,800 a month. Fixed retainers are scoped per engagement.
How much can a CPA firm save by outsourcing bookkeeping to India?
Vendors report savings of 40 to 60 percent on fully loaded staffing cost. The real figure depends on how much review time your seniors spend on the offshore work, so compare cost per finished, reviewed file rather than the hourly rate.
What does a bookkeeper cost in the US?
The US Bureau of Labor Statistics reports median pay of $50,670 a year, or $24.36 an hour, for bookkeeping, accounting and auditing clerks (May 2025). Benefits, payroll taxes, software and office costs come on top of that.
Which pricing model is best: hourly, FTE or fixed retainer?
Hourly suits overflow and seasonal peaks. A dedicated FTE suits steady volume where you want one person who learns your clients, but you manage and review that person. A fixed monthly retainer suits firms that want a written scope and want the vendor to carry the efficiency risk.
Is it safe to give an offshore team access to client books?
It can be, if the work happens inside your own QuickBooks Online, Xero or Sage subscription with role-based access you control, under NDA, and you can revoke access at any time. Avoid any arrangement that requires exporting client data into the vendor's systems.
How does the time difference work with an Indian bookkeeping team?
India is 9.5 to 13.5 hours ahead of US time zones, East Coast to West Coast depending on daylight saving. Work handed off at your close of business is usually finished before your next morning.
