How to choose a CA firm in Ahmedabad: the checklist we would use on your side of the table

More than 14,000 Chartered Accountants are members of the ICAI Ahmedabad branch. Most founders pick one by asking a friend. Here is the checklist we would use if we were on your side of the table, including the questions that make a bad firm visibly uncomfortable.
The Ahmedabad branch of ICAI has more than 14,000 Chartered Accountants as members, making it the largest branch in Western India and the second largest in the country. That number is exactly the problem. When every board outside every office says the same thing, how do you tell the firm that will catch a notice before it becomes a demand from the firm that files your returns on the last date and calls it service?
We are a CA firm in Ahmedabad, so read this with that bias in mind. But the checklist below is the one we would use ourselves, and about half of it works against firms like ours. Use it that way.
Start with what you actually need
"I need a CA" means five different things depending on who says it. Before you meet anyone, put yourself in one of these buckets:
- Compliance-only. You need GST returns, TDS, ITR and the annual ROC filings done correctly and on time. Nothing more. This is most proprietors and small traders.
- Compliance plus advisory. You are growing, you take decisions with tax consequences (new branch, new state, exports, director remuneration), and you want someone who flags things before you do them, not after.
- Audit. Statutory audit, tax audit above the turnover thresholds, or a bank-mandated audit. Here the signing partner's independence and litigation record matter more than fees.
- CFO-level work. MIS, cash-flow forecasting, fundraising support, investor reporting. Very few traditional firms genuinely do this; most rebrand bookkeeping as "Virtual CFO" and charge accordingly.
- Cross-border. A foreign parent, foreign clients, FEMA filings, transfer pricing. This is a specialisation. A firm that does two FEMA filings a year will learn on your file, at your cost.
The single biggest mismatch we see: a growing company on a compliance-only retainer, wondering why nobody warned them about the notice that was predictable eight months earlier. The firm was not negligent. It was simply never scoped to think.
The six questions that sort firms fast
Ask these in the first meeting. The answers matter less than how comfortable the firm is answering them.
1. Who exactly will work on my file?
In many mid-sized firms, the partner you meet is not the person who touches your file again. Work flows to an article assistant, reviewed occasionally. That is fine for simple compliance and priced accordingly, but you should know. Ask: who prepares, who reviews, who signs, and how often does the partner personally look at my numbers?
2. How many clients do you serve in my industry?
GST for a restaurant, an exporter and a SaaS company are three different games. Industry depth shows up in the questions the firm asks you. If you run a manufacturing unit and the firm never asks about job work, inputs sent out under ITC-04, or e-way bill discipline, they have not done much manufacturing work.
3. What happens when a notice arrives?
The honest answer includes a process: who reads it, how fast you hear about it, who drafts the reply, what representation before the officer costs. Firms that rarely handle scrutiny will give you a vague answer here. Departmental representation is a skill built by doing.
4. What is included in the fee, and what is extra?
The classic Ahmedabad complaint is not high fees. It is surprise fees. A clean engagement letter lists inclusions, exclusions, and rates for out-of-scope work. If the firm quotes one number verbally and resists putting scope in writing, that number will grow.
5. What software and systems do you run on?
You are not hiring them for their software. But a firm that still moves your data on pen drives and WhatsApp PDFs will lose documents, miss reconciliations, and cannot give you real-time visibility. Ask how you will share documents, where your data lives, and what you can see without calling them.
6. Who is your typical client?
If you are a startup and the firm's book is 90 percent traditional traders, or vice versa, the defaults they apply will be wrong for you. There is no bad answer, only fit.
Red flags that end the conversation
- Guaranteed refunds or "zero tax" promises. Tax outcomes depend on facts. Anyone guaranteeing outcomes is either overclaiming or planning positions you will defend later, alone.
- No engagement letter. If the scope is not written down, disputes are guaranteed and you will lose them.
- The firm files from their own login without giving you access. Your GST and income-tax portal credentials belong to you. A firm that keeps you locked out of your own portals is building a switching cost, not a service.
- Fees dramatically below market. Compliance done at a loss is compliance done by the cheapest available junior, unreviewed. The rework costs more than the saving.
- "We know people in the department." Move on.
What fees actually look like
Numbers vary by complexity, but as a sanity check for Ahmedabad in 2026: monthly GST compliance for a clean SME typically runs from a few thousand rupees per month; ITR filing for a salaried individual is a low four-figure engagement; company incorporation with all registrations bundled is usually quoted flat; statutory audit is scoped on turnover and complexity. A real Virtual CFO retainer, with MIS, forecasting and board reporting, typically starts around ₹40,000 a month. Packages far below that are usually bookkeeping with a new label.
If a quote is far below these ranges, re-read the red flags section. If it is far above, you should be getting named-partner attention and industry depth for the difference.

Big firm, small firm, or something in between
The Big Four and large national firms are excellent at what they price for: listed-company audits, complex structuring, multinational compliance. An SME retainer is not their business model, and the attention you get reflects that. A solo practitioner gives you direct partner attention by definition, but capacity and coverage become your risk. One person cannot be a GST litigator, an audit signatory and a CFO at once.
The practical sweet spot for most growing Ahmedabad businesses is a multi-partner firm that is still small enough that partners work on files. You get specialisation across partners without the file disappearing into a pyramid.
The decision checklist
Before you sign, you should be able to tick every box:
- I know which bucket of need I am in, and the firm has real clients in that bucket
- I know who prepares, who reviews, and who signs my work
- Scope, fees and exclusions are in a written engagement letter
- I keep my own portal logins and my data is accessible to me
- The firm has handled notices and departmental representation in my tax areas
- The firm asked me at least one question that showed they understood my industry
Six ticks and you have found your firm. Four or five, negotiate the gaps into the engagement letter. Fewer, keep looking. Ahmedabad has 14,000 more.
